What will you be doing?

We are seeking a Program Operations Coordinator to support the set up, execution and financial, operational and administrative management of programs and our studio operations. This position provides operational and administrative support for our regional team of Program Managers and studio General Managers to ensure programs and resources are set up successfully, supporting the overarching operations and P&L of frog’s studios. This role will partner closely with the frog operations, finance and legal teams throughout the lifecycle of a program to ensure accurate and efficient administrative set up, billing, invoicing, legal support and vendor management.

In this role, you will:

  • Manage the administrative set up of programs in our financial tracking programs, and ensure program delivery teams have the information they need to track their time against programs
  • Responsible for tracking, management and execution of payment schedules and invoicing across range of programs, liaising between program management, finance and operations teams
  • Support select teams with financial tracking, including resource allocation, time estimates, revenue projections, and expenses
  • Support scope and contract legal review, signature and archiving
  • Manage vendor set up, coordinating directly with vendor partners to ensure form completion, operational and financial set up, and ongoing payment
  • As needed, provide program delivery administrative support with tasks such as software procurement, vendor management and support
  • Proactively and clearly communicates status, risks, and issues

We want you to have:

  • 2+ years of experience in a consultancy, agency, or in a related industry
  • Strong organizational, written, and verbal communication skills, coupled with responsiveness and follow-through on details
  • Understanding of program and project management, work flow and infrastructure
  • Experience working with financial and operational tools and processes
  • Diligence in execution, utilizing creative problem solving and critical thinking to get things done efficiently
  • Ability to develop strong relationships and enable cohesiveness across diverse individual skills and styles
  • Ability and desire to solve problems and look for opportunities for improvement
  • Business-level fluency in English
